Overview

The Mail Queue Manager allows you to view, delete, and attempt to deliver queued messages that the system has not yet delivered to their destinations. For example, the system places messages in your mail queue if the sender addressed the messages to invalid hosts or addresses.

View queued emails

To view messages queued on your server, perform the following steps:

  1. Enter the search term conditions for your query.

    1. Enter your search criteria into the Search... text box.

    2. In the Select Query menu, select Search Sender, Search Recipient, or Search Message ID.
      • If you do not wish to restrict your search to a specific filter, select No Filter.
    3. In the Search Type menu, select how the search function will match your criteria: Begins With, Exact, or Partial.

      Note

      Partial matches take longer to run than Begins With and Exact.
  2. Enter the Start Date, Start Time, End Date, and End Time and End Date in month, day of month, year format to specify the date range for which you wish to view sent mail.
  3. Click Run Report. A list of associated email messages will appear below the search function.

The results table

By default, the system sorts results for your query into seven columns.

Time ReceivedThe time at which the email message arrived at the destination server.
SenderThe email address that sent the message.
Message IDThe unique identifier for the message.
Recipient(s)The email address to which the user sent the message.
SizeThe size of the message.
StatusThe status of the message.
ActionWhen you click , a new window will display the message's delivery details.
Above and below the report are three options: Delete Message, Deliver Message Now, and Return to Mail Queue.

Note

If an email has several invalid destination addresses (includes addresses listed in the CC and BCC text boxes), the message will only appear once in the table. Click  for more information.

Customize output results

You can add or remove output columns to customize the results table. By default, the system lists all columns in the table.

To remove columns, click in the top right-hand corner of the results table and deselect the information that you wish to hide. To add information, select the box.

Manage queued emails

After you click Run Report, the emails will appear in a table below the search function where you can perform the following actions:

  • Further narrow the list of messages.
  • View more detailed information about the delivery.
  • Unfreeze queued messages.
  • Delete messages from the queue.
  • Attempt to deliver queued messages.

Narrow the list of queued emails

To further narrow the list of emails, enter your search criteria in the Search... text box.
This search feature will not search through the body of the queued messages.

Note:

This search feature will not search through the body of the queued messages.

The results will stay filtered until you clear the search box.

View and print the delivery report

To see more detailed information for the queued messages, click the icon that is associated with the desired message.

A new window will display the message's delivery details. Above and below the report are three options: Delete Message, Deliver Message Now, and Return to Mail Queue.

Use your browser's Print function to print this report.

Deliver queued emails

To attempt to deliver certain emails, perform the following steps:

  1. Click the boxes next to the emails that you wish to send.
  2. Click Deliver Selected.
    • A new window will open. Once the delivery attempt finishes, click OK.

The system will confirm that it attempted to deliver the message. Under Delivering Messages in Queue, a delivery report will indicate whether this attempt succeeded or failed.

To attempt to deliver all listed emails, perform the following steps:

Warning

This function attempts to deliver all emails, both from the filtered list and mail queue. Only use this if you wish to deliver all emails in your mail queue.
  1. Click Deliver All.
  2. Click OK in the new window to confirm that you wish to deliver all emails.
    • A new window will open. Once the delivery attempt finishes, click OK.

The system will confirm that it attempted to deliver the message. Under Delivering Messages in Queue, a delivery report will indicate whether this attempt succeeded or failed.

Delete queued emails

Emails that have been sent to incorrect addresses will not be delivered. At some point, you will need to delete these messages from the Mail Queue Manager.

To delete certain emails, perform the following steps:

  1. Click the boxes next to the emails you wish to delete.
  2. Click Delete Selected from the table.
    • A new window will open. Click OK.

To delete all emails, perform the following steps:

This function deletes all emails, both from the filtered list and mail queue. Only use this if you wish to delete all emails from your mail queue.
  1. Click Delete All from the table.
  2. Click OK in the new window to confirm that you wish to delete all emails.
    • A new window will open. Click OK.

Unfreeze an email

After several attempts, if a message fails to deliver, the system will "freeze" that message. This practice helps to conserve system resources, increase queue runs, and reduce chances that the target mail transfer agent will treat your message as spam.

The system will not attempt to deliver the message again until you manually unfreeze the message or the system reaches a timeout.

To unfreeze a message, click the icon that corresponds to the desired message. A new window will open to confirm that the system has unfrozen your message.

Notes:

  • This icon only appears when the status of the message is labeled frozen.
  • You can unfreeze only one message at a time.

If several frozen messages appear in your Mail Queue Manager, examine the log file (/var/log/exim_mainlog) to find the cause and troubleshoot Exim.
